As a member of a major retail and mixed-use project team currently within two major Boston area properties, the Tenant Design and Construction Coordinator is responsible for assisting the Principal and other project team members in coordinating the implementation of retail Tenant designs and construction. The Tenant Design and Construction Coordinator assists in coordinating all assigned projects, collaborating with other disciplines, successfully implementing each project with a high level of success and Client satisfaction.
REPORTS TO: Principal and Associate Principal
The Tenant Design and Construction Coordinator will operate in a multidisciplinary environment with other project team members such as Development, Construction, Design & Planning, Property Management/Operations, Legal, Leasing, Accounting, and Information Technology, working to develop processes and procedures to accomplish complex retail and mixed use projects. The Tenant Design and Construction Coordinator will work most closely with and be under the guidance of a Principal, working collaboratively to coordinate the retail Tenant design and construction process and facilitate timely and on-budget retail Tenant openings. Specifically, the Tenant Design and Construction Coordinator must assist in the following tasks:
Serve as Retail Tenant Delivery Team Leader and work with other project team members in developing teams, processes and procedures to accomplish development projects.
Investigate and become familiar with base building conditions in as much as they influence future tenant design and construction.
Review, comment on and assist in negotiating Tenant work letters and preparing additional Lease exhibits as necessary.
Become familiar with and enforce the Landlord’s Tenant Design Criteria.
Survey and track conditions of the individual Tenant spaces for utilities stub provisions, demising configuration and general conditions and inventory all conditions, alerting Landlord Development and Construction and Tenant Design and Construction Teams to any discovered irregularities and scheduling issues.
Review, approve and coordinate all Tenant preliminary, working and sign drawings in an expedited manner to assist in timely Tenant construction start and opening.
Hosting and leading Tenant preconstruction meetings to orient Tenant general contractors to the project standards and to establish the Landlord’s expectations for a successful Tenant build out.
Accurately track and update Tenant design and construction milestone reports for larger project team review and analysis.
Working closely with the Project General Contractor and Construction Management team, establish the project budget and schedule for the Landlord scope of work for the project.
Track retail Tenant project progress and quality.
Coordinate any design and construction changes during the various Tenant build outs.
Enforce Owner/Client performance and quality standards.
Coordinate all internal Landlord plan reviews/comments, Owner/Client design approvals and in coordinating municipal permit process and other approvals.
Assist Landlord in procuring design consultants (architect, engineers, etc.), general contractor and other prime contractors/vendors for Landlord scope of work items.
Managing and coordinating general contractor, subcontractors and vendors through the completion of Landlord scope of work installation through Tenant turnover.
Participate in weekly Landlord team Tenant status update meetings and construction owner, architect, and contractor (OAC) meetings as necessary.
Close out of Tenant construction projects – assembling and recording all documents, fees, charges, lien wavers, balance reports, as-builts and other construction related items necessary to close out projects.
Organize all master copies of documents used in the implementation of the project. Candidate must be highly organized and able to account for and reference all project files rapidly.
Maintenance of regular project status updates including data entry of Tenant deal points and milestones into the project database.
All other duties as assigned and required to achieve a successful retail grand opening.
Required Travel: Local and some National travel required.

REQUIREMENTS AND QUALIFICATIONS:
Bachelor’s Degree in Design, Architecture, Construction Management or related field.
Proven record of success in retail Tenant coordination projects and/or in the design and/or construction of smaller commercial (preferably retail) projects or other comparable project involvement.
Minimum three years’ experience working as a Project Manager, Tenant Coordinator or Project Coordinator in the retail shopping center industry, or an equivalent experience in the commercial design or construction industry.
Ability to read and comprehend construction documents and real estate Leases.
Architectural background and/or a design sensibility and standard of quality are necessary.
Excellent communication skills in order to better establish and maintain design and construction standards as set forth by the Owner.
Some level of construction experience/background preferred.
Must be willing to travel between local properties and out of state as necessary.
Fluency in Adobe Professional/Bluebeam and all Microsoft Office products AutoCAD is required. Additional computer technology experience that will advance the candidates ability to develop and integrate innovative processes is a clear advantage.
LEED Accreditation or comparable green building experience is a plus.
